LoopMe Systems Privacy Policy
When using LoopMe, customers trust us with their information. This Privacy Policy is meant to help you understand what data we collect, why we collect it, and what we use it for.
Privacy Policy
Last changed: October 27, 2020
There are many different ways you can use the LoopMe system. For example, you may be asked by your teacher/leader to document your individual learning/development process, communicate with your teacher/leader about your learning, or maybe even with an external tutor. It may also be that you and your colleagues will document different learning experiences or actions within a project group.
Information we collect
If you have registered a personal LoopMe account, you have the right to request information about what information we have saved about you. You also have the right to have any incorrect information corrected or request for it to be deleted.
The “data controller” for your account is, in most cases, the organization (for example, your school, municipality, or employer) that has decided that you will use LoopMe. Me Analytics AB has signed a personal data assistant agreement with several municipalities in Sweden.
For questions regarding the handling or correction of your personal information or if you wish to request an extract of your personal information, please contact info@meanalytics.se.
Information you provide
When you sign up for a LoopMe account, we’ll ask for personal information, like your name and email address. If you like, you can also upload a personal profile image associated with your account.
You can choose to use LoopMe by logging in with a Google account. In these cases, we will automatically use your username and insert the profile image you use through your Google Account. Once you use LoopMe, we will collect the following information associated with your personal LoopMe account:
- Connect your LoopMe account to your organization(s) of choice (within the LoopMe system).
- Completed tasks
- Used tags
- Selected emoticons
- Free text that you have written
- Comments that you have written
- Files a Images that you have attached to your loops
The purpose of the data collected through LoopMe is to plan, clarify requirements, follow and support individuals (students / employees) learning or work – not to assess / rate it. Data constitutes, first and foremost, a formative dialogue between the teacher / leader and his / her students / co-workers and can serve as one of several assessment bases for the overall image of each individual’s learning process or development.
Information that we receive when using our services
We collect information about how you use our service in order to facilitate support and also improve our services. The following information will be collected when using LoopMe:
Device information
We collect information about the specific device used (the version of the operating system).
Log information
When you use LoopMe, we automatically collect and store certain information in server logs. This includes:
- Information about events on your device, such as crashes (you are asked to actively approve if you wish to send us this information).
- Cookies that can modify the webpage according to your choices and information necessary to identify yourself through Google (if Google sign in is used).
- Locally on your computer, we store personal information that you add to your LoopMe account (password excluded), the URL-address for your profile picture, and information about when your LoopMe account has been created.
- For those who have created a group and other recipients of loops within the group (e.g. a teacher or leader), a cookie is created with statistical data (for example, the number of sent loops, most used tags, most used emoticons, and number of comments and loops sent within each group).
All log information is automatically erased from your device when you log out of the LoopMe system.
Information security
We work hard to protect LoopMe and our users from unauthorized access to or unauthorized alteration, disclosure, or destruction of information we hold. In particular,
- We encrypt all our services with SSL.
- The LoopMe system is operated via servers owned by a company named Amazon, and we use their highest security level.
- All information in the LoopMe system will be processed via Amazon’s servers in Sweden.
- We continuously review our procedures for collecting, storing, and processing data in order to protect against unauthorized access to systems.
- Our engineers have a high level of competence in data security and ensure that we treat collected information correctly and with high security.
Who is entitled to access the information within LoopMe?
- The loops you send within the system are only available through your personal login and through the teacher’s/leader’s/tutor’s login that you are reporting to.
- If the free text you enter in a loop contains information that your teacher is required to report to others, such as data on abusive treatment, punishable documents, or information to be reported to the social services, the rules and practices applied at the school/your organization are to report this further.
- Every user that sends loops (students/co-workers) is encouraged to continuously report activities, thoughts, and feelings related to teaching or a development process. The time and number of loops made are up to each individual to choose.
- When a user sends a “free loop”, the user can choose to be anonymous. The teacher/leader may still be able to deduce a free loop to an individual student or co-worker if the teacher/leader can recognize the individual’s way of writing within the free text field and whether the individual has attached a file or image that reveals the individual’s identity.
- The recipient of a “free loop” can always start a comment thread and give a direct response back to the individual who has sent the loop.
How long will data in LoopMe be saved?
All personal data in the LoopMe system is saved as long as the respective teacher/school/municipality considers it necessary to keep it. Each group owner has the opportunity to request this information at any time.
Changes
Our Privacy Policy may change from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice (including, for certain services, email notification of privacy policy changes). We will also keep prior versions of this privacy policy in an archive for your review.
